Imagine You're a Bottle
Yes, a bottle. A regular bottle with a neck.
When you pour water into the bottle, it goes through the neck. When you pour water out of the bottle, it comes out through the neck.
But what happens when the neck is too narrow?
Nothing comes out. Or only very slowly. Drop by drop.
That's a bottleneck.
And that's exactly what you are in your business: The bottleneck.
Everything has to go through you. Every decision. Every task. Every process.
- When you're not there, everything stops.
- When you're sick, everything stops.
- When you're on vacation, everything stops.
Why? Because you're the bottleneck.
Why You're the Bottleneck (And Why That's a Problem)
Let me tell you a story.
A few years ago, I worked with a solopreneur. Let's call him Max.
Max had a small business. He built websites for clients. He was good. His clients were satisfied.
But Max had a problem:
He worked 60+ hours per week.
Every day. Every week. Every year.
He did everything himself:
- He wrote the proposals.
- He designed the websites.
- He coded the websites.
- He did the marketing.
- He did the support.
Everything.
And because he did everything himself, he was always overwhelmed.
He had no time for his family. He had no time for himself. He had no time for new projects.
He was the bottleneck.
And one day he said to me:
"Ralf, I can't do this anymore. I work 60+ hours per week, but I'm not making progress. I'm always tired. I have no time for my family. I have no time for myself. What should I do?"
That's the problem when you're the bottleneck:
- You work too much (60+ hours/week)
- You're always tired (burnout)
- You have no time for yourself (no work-life balance)
- You're not making progress (no growth)
And the worst part:
When you're the bottleneck, you can't scale.
Why?
Because everything has to go through you. And you only have 24 hours in a day.
That's the problem.
Why You're the Bottleneck (The 3 Reasons)
There are 3 reasons why you're the bottleneck in your business:
Reason 1: You Do Everything Yourself
You think:
"I have to do everything myself. Only I can do it right. If I don't do it myself, it won't be good."
That's wrong.
Why?
Because you don't have to do everything yourself. And because you can't do everything yourself.
Example:
Imagine you're a chef. You cook in a restaurant.
If you do everything yourself (shopping, cooking, serving, washing dishes), you can only serve 5 guests per day.
But if you have a team (a shopper, a cook, a waiter, a dishwasher), you can serve 50 guests per day.
That's the difference.
You don't have to do everything yourself. You only have to do the things that only you can do.
Everything else you can delegate.
Reason 2: You Have No Systems
You think:
"I don't need systems. I know how to do it. I just do it."
That's wrong.
Why?
Because without systems, everything is chaotic. And because without systems, everything depends on you.
Example:
Imagine you're a pilot. You fly a plane.
If you don't have a checklist (no system), you might forget something. And if you forget something, the plane crashes.
But if you have a checklist (a system), you don't forget anything. And the plane flies safely.
That's the difference.
Systems help you not forget anything. Systems help you be consistent. Systems help you scale.
Without systems, you're the bottleneck.
Reason 3: You Have No Delegation
You think:
"I can't delegate. I don't have a team. I'm a solopreneur."
That's wrong.
Why?
Because you don't need a big team to delegate. You just need AI.
Example:
Imagine you're a writer. You write books.
If you write everything yourself (every word, every sentence, every chapter), you can only write 1 book per year.
But if you use AI as a partner (AI writes 80%, you write 10% Strategy + 10% Quality Control), you can write 10 books per year.
That's the difference.
You don't have to do everything yourself. You only have to do the things that only you can do (Strategy + Quality Control).
Everything else AI can do.
How to Fix the Bottleneck (The 3 Steps)
Okay, now you know why you're the bottleneck.
But how do you fix the bottleneck?
Here are the 3 steps:
Step 1: Find Out What Only You Can Do
The first step is: Find out what only you can do.
Ask yourself:
- - What can only I do? (What can nobody else do?)
- - What is my Unique Ability? (What can I do better than everyone else?)
- - What is my strategy? (What is my vision, my direction?)
Example:
If you're a solopreneur, only you can:
- - Do the strategy (where is your business going?)
- - Do the quality control (is it good enough?)
- - Maintain client relationships (build trust)
Everything else you can delegate.
Action:
Take a piece of paper. Write down:
- 1. What can only I do? (List 3-5 things)
- 2. What can someone else do? (List everything else)
That's your first step.
Step 2: Delegate Everything Else to AI
The second step is: Delegate everything else to AI.
Ask yourself:
- - What can AI do for me? (Content writing, research, data analysis, etc.)
- - What can AI do better than me? (e.g., faster, more consistent, more scalable)
- - How can I use AI as a partner? (not as a replacement, but as a partner)
Example:
If you're a solopreneur, AI can:
- - Write content (blog articles, social media posts, emails)
- - Do research (keyword research, competitor analysis)
- - Do data analysis (traffic, conversion, revenue)
Everything you don't have to do yourself, AI can do.
Action:
Take your list from Step 1. Look at what you can delegate.
Then ask yourself:
- What can AI do for me? (List 5-10 things)
- How can I use AI as a partner? (not as a replacement, but as a partner)
That's your second step.
Step 3: Build a System (10-80-10 Workflow)
The third step is: Build a system.
Why?
Because without a system, everything is chaotic. And because without a system, everything depends on you.
The system is called: 10-80-10 Workflow.
What is that?
- 10% Strategy (you do the strategy)
- 80% Execution (AI does the work)
- 10% Quality Control (you check the quality)
Example:
When you write a blog article:
1. 10% Strategy (you decide: What's the topic? What's the message? What's the call-to-action?)
2. 80% Execution (AI writes the article)
3. 10% Quality Control (you check the article: Is it good? Does it fit my brand voice? Is it actionable?)
That's 10-80-10.
Why this works:
- You control the strategy (not AI)
- AI does the work (not you)
- You control the quality (not AI)
That's the difference.
Action:
Take your list from Step 2. Look at what AI can do for you.
Then build a system:
- 10% Strategy (what do you have to do yourself?)
- 80% Execution (what can AI do?)
- 10% Quality Control (what do you have to check?)
That's your third step.
How I Fixed the Bottleneck (My Story)
Let me tell you my story.
A few years ago, I was also the bottleneck.
I worked 60+ hours per week. I did everything myself. I had no time for myself.
I was overwhelmed.
And then I changed something.
I built a system: 10-80-10 Workflow.
What did I do?
- 10% Strategy (I do the strategy: What's the goal? What's the message?)
- 80% Execution (AI does the work: content writing, research, data analysis)
- 10% Quality Control (I check the quality: Is it good? Does it fit my brand voice?)
Result:
- I now work 30 hours per week (not 60+)
- I have time for my family (work-life balance)
- I have time for new projects (growth)
- I've kept a 10-year client (without price increases, without burnout)
That's the difference.
How did I do it?
I built a system. I used AI as a partner (not as a replacement).
I controlled the strategy (10%). AI did the work (80%). I checked the quality (10%).
That's 10-80-10.
Summary: How to Fix the Bottleneck
Okay, let's summarize.
Why you're the bottleneck:
- You do everything yourself (no delegation)
- You have no systems (everything depends on you)
- You don't use AI as a partner (only as a tool)
How to fix the bottleneck:
- Find out what only you can do (Strategy, Quality Control, client relationships)
- Delegate everything else to AI (Content, research, data analysis)
- Build a system (10-80-10 Workflow: 10% Strategy, 80% Execution, 10% Quality Control)
Result:
- You work less (30 hours instead of 60+)
- You have more time for yourself (work-life balance)
- You can scale (without working more)
That's the difference.
Your Next Step
Okay, now you know why you're the bottleneck. And you know how to fix the bottleneck.
